Main duties of this PA role are:

  • Diary management
  • Organise and set up meetings, preparing agendas and minuting as needed
  • Act as first point of contact for Trustees
  • Taking calls and dealing with general enquiries
  • Act as direct liaison for the Development department, tracking all donor meetings ensuring briefing are provided by the team, manage all correspondence, ensuring emails/letters are sent and recorded
  • Draft correspondence and standard letter and produce reports, minutes and proposals
  • Prepare and maintain spreadsheets and PowerPoint presentations
  • Assist with projects
  • Maintain the database
  • Maintain office systems
  • Provide administrative support for the Development department
  • Attend events when required to meet,
  • Processing expenses and record/monitor invoices and expenses
  • Ad hoc duties when required

The successful candidate must have demonstrable experience within a busy office, in a range of secretarial and administrative duties. You need to have strong verbal and written communication skills, strong organisational skills with proven ability to plan and prioritise a varied workload and work positively under pressure to meet deadlines. You need to have excellent attention to detail, good interpersonal skills with the ability to communicate confidently and effectively with a range of people. You need to have good team working skills and have strong knowledge of all Microsoft packages.
