Our client a well-known Arts Organisation requires a PA to provide forward thinking PA and administrative support to the Director. This is fixed term contract to start mid-September and is to finish at the end of December 2019.

The main duties of the Personal Assistant are:

  • Complex diary management
  • Field all calls
  • Proactively plan and coordinate the Director's complex diary
  • To support the Director in the management of the people related processes by ensuring that all sickness, annual leave, appraisal and similar information is correctly recorded
  • To act as central point of contact for all Heads of Department
  • To develop, maintain, maintain and structure office administrative procedures including Director's filing and archive systems
  • To support the Board paper cycle for the division and ensuring Board papers are ready for the Director as soon as they are available
  • To support the team with regards to managing large meetings, taking notes at key meetings and help collage information
  • Booking travel and itinerary for Directors' trips
  • Plan and undertake research and other administrative project work
  • To coordinate the intranet content for the Division
  • Maintain contact lists
  • Work collaboratively with other Directorate Pas to ensure there is consistency and efficiency in processes
  • Take ownership of the administrative efficiency of the office area including stationery orders, photocopier and printer maintenance, keeping taxi courier records and administrating the Director's expenses claim, petty cash and corporate credit cards
  • To organise internal and external meetings
  • To liaise with IT regarding equipment maintenance
  • Raise Purchase Orders and enter invoices on the system
  • Actively seek to implement Health and Safety Policy
  • Actively seek to implement Equal Opportunity Policy
  • To undertake any other ad hoc duties as required

The successful candidate will have proven high-level PA skills such as complex diary management, travel arrangements and able to take speedy and accurate minutes. You need to have excellent communication skills, administrative and organisation skills and the ability to work well under pressure. You need to have good prioritising and time management skills and excellent knowledge of all Microsoft packages.
