My client an international payments firm are looking to hire an experienced Receptionist/Office Manager on a 12 month temporary basis. You will be responsible for managing the front of house and being the face of the company as well as working alongside the administration team.

General Reception
  • Greet clients, visitors, contractors etc with a positive, helpful attitude
  • Answering, forwarding, and screening reception phone calls
  • Completing administrative tasks like filing, delivering, and accepting mail and other packages as well as managing franking machine and couriers
  • Looking after meeting rooms across 3 floors incl event support, catering, liaising with IT re AV requirements etc
  • Assist organising internal staff events such as Easter, Christmas etc
  • Maintaining a safe and welcoming environment to work in – reporting any issues to Admin
  • Ensuring pantry & stationary are at optimal stock level at all times as well as sourcing with emphasis on environment and cost
  • Full training of temps as and when required
  • Manage access control (with landlord) monitoring new starters and leavers
  • Performing ad-hoc administrative duties
  • DSE (Display, Screen, Equipment) – Manage software and send out to new starters to complete and assess
  • On-boarding and Off-boarding – manage retrieval of WF office equipment.
Procurement support:
  • Assist with local procurement of office products & services
  • Submit all invoices to procurement team for payment
  • Work collaboratively with procurement and finance teams to resolve streamline process and resolve any issues.
Job requirements
  • Prior receptionist / administrative office experience – min 3 years
  • Exceptional organisational and logistical skills
  • Excellent interpersonal skills with ability to interact with diverse internal and external clients
  • Strong verbal written, analytical and computer skills
  • Good judgment, resourcefulness and ability to think outside of the box to solve problems is a must
  • Problem solver
  • Ability to multi-task in a fast-paced environment
  • Ability to communicate and report to different levels of management
