I am recruiting for a Team Assistant to join this highly established company, you will have the chance to work for the world’s leading provider of integrated shipping services. The office location is idyllic and you will be working on the Docklands. You have the surroundings to enjoy your lunch time and take a stroll around Borough Market and Tower bridge. The offices you will be situated in have a beautiful terrace, which is open for drinks in the summer and warmer months, classic sweet jars, open to all employees throughout the day in the canteen, breakout spaces, so you can enjoy some down time, and floor to ceiling windows, so you are always exposed to sunlight throughout your working day.

Your role will be to provide administrative support to the Group Secretariat function, with is made up of the Group Company Secretary, Deputy Company Secretary and Company Secretariat Assistant. You will be in charge of handling all the administrative matters in the department, from diary management, delegating calls, email delegation, and booking travel globally. Previous experience within a Team Assistant

The Role:

This role requires someone with brilliant Team Assistant skills and the ability to support highly demanding individuals. Always being some step ahead and being able to prioritise your work like is key! If you have a love for supporting the people around you with, diary, travel, arranging company events and keeping updated with the company’s new processes, this will be the role for you!

Duties Include:
  • Handle all routine administrative matters in the department.
  • Diary management.
  • Delegating emails and calls.
  • arranging international travel.
  • Being a gatekeeper.
  • Opening post, organising couriers, filing and archiving.
  • Schedule meetings, lunches and organise meeting rooms.
  • Assist with management.
  • Assist with insurance matters as directed by the team.
  • Process invoices.
  • Maintain sickness and holiday records for the team.
  • Maintain schedule of documents held in the department’s safe.
  • Send out annual reports and interim reports as requested.
  • Meet and greet visitors being a first point of contact for the department.
