Executive Assistant Duties:

  • Assisting with EA duties for founder such as booking appointments, paying bills, arranging flights, hotel bookings, transport and more
  • Assisting with EA duties for MD such as booking appointments, paying bills, arranging flights, hotel bookings, transport and more
  • Assisting with day-to-day activities on an ad-hoc basis related to the business
  • Expenses record keeping for employees when out on meetings
  • Creating report/ data needed for Senior Leadership Team

Marketing Duties:

  • Highlighting all upcoming events and ensuring they're in the diary, such as international women's day
  • Marketing via social media (Instagram and LinkedIn are the main platforms), exploring TikTok too and having on-trend videos
  • As Hoc social media posts using software such as Canva and Hubspot
  • Continue building our social media presence with the Marketing Agency
  • Taking photos and videos for branding purposes both in the office and events
  • Suggesting "on-trend" marketing and charity events such as marathons, three peaks, etc
  • Managing charity relationships

Managing third party relationships:

  • Working with third party agencies which assist in website development and content such as brochures
  • Managing third party SaaS subscriptions (Linked In, BullHorn, OneUp, CloudCall and more)

Office Manager:

  • Managing the relationship with office supplier
  • Office management duties such as arranging weekly deliveries, stocking the fridge, asking staff what they want within the allocated budget for example, beer, milk, etc.
  • Booking weekly/monthly and quarterly social events
  • Arranging incentive rewards such as holiday, spa days and more
  • Internal documentation organisation on shared documents folder
  • Learning and managing Bright HR
  • The central point of contact for employee holiday requests

Talent Acquisition/ Employee onboarding:

  • Employee onboarding, sending employee contracts and registering them on BrightHR (our HRIS system)
  • Creating an employee "starter pack" which will be supplied to new employees and on their first day, they can make social media posts, saying they cannot wait to start, etc.
  • You will be provided guidance from the company directors
  • You will meet candidates, show them around the office in prep for their interviews with the Directors and Team
