Our client, who specialise in reinsurance and insurance are currently looking to recruit a receptionist and facilities coorindator to join their team as soon as possible for a period of 6 months.

Responsibilities  

Receptionist
  • Meet and greet visitors.
  • Provide refreshments for the meetings and ensuring that these are cleared away promptly afterwards.
  • Managing meeting room bookings.
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Deal with all incoming/outgoing correspondence (post and email)

Facilities Coordination

  • Ensure office is kept clean and tidy at all times
  • Maintaining the condition of the office and arranging for necessary repairs to the office and office equipment
  • Maintaining essential central services such as security, maintenance, mail, archiving, cleaning, waste disposal and recycling
  • Ensuring that the office supplies, stationery and kitchen supplies are kept fully stocked at all timesEnsuring the offices compliance with Health and Safety regulations
  • Working with the London CEO’s EA in liaising with the any third parties regarding corporate rates for hotel accommodation, car booking as and when required
  • Be contact person for office emergencies/call outs as appropriate

Requirements

  • Experience with health and safety regulations
  • Prior involvement in office management
  • Proficient user of word, excel, outlook and power point
  • Strong administrative skills with excellent attention to detail and a high level of accuracy
  • Proven time management skills
  • High levels of self-confidence and self-motivation
  • Ability to work autonomously and take ownership
  • Comfortable and capable of communicating with all levels of people within and outside the business both written and verbally with a high level of professionalism
  • Confident and professional telephone manner
  • Effective team player with a can-do attitude
  • The ability to prioritise a busy and varied workload for a number of different stakeholders at any one time ensuring all deadlines are met
  • Must be diplomatic, professional, maintain strict levels of confidentiality and exercise discretion at all time
  • Proactive and able to deal effectively under pressure
