THE COMPANY:
Our client based in the West End is a Global Asset Management Firm who are looking to recruit a professional and polished Receptionist. They are looking for a receptionist to jointly responsible for the reception area, including greeting visitors and dealing with incoming calls. 


THE ROLE:
  • Meeting and greeting all visitors including offering refreshments, directing visitors to meeting rooms and announcing their arrival
  • Responsible for incoming calls to the switchboard including forwarding queries, announcing calls and taking messages via email
  • Booking couriers, distribution of incoming deliveries and organisation of outgoing post
  • Booking meeting rooms for all internal and external meetings including arranging video conferences, ensuring rooms are all set up beforehand
  • Ordering of stationery, keeping track of stock levels and spending
  • Assist with researching and organising offsite meetings, conferences and staff social events
  • Ensure that all queries to the reception inbox are responded to in a timely manner
  • Monitor, order, and replenish meeting room supplies
  • Process expenses as and when required
  • Ensure the reception area is tidy and projects a professional first impression
  • Booking domestic and international travel for staff members as and when required
  • Provide ad hoc cover for team/personal assistants when required
 
THE PERSON:
  • Previous experience within a reception/office coordinator role, preferably within a similar corporate environment
  • Excellent communication skills, both verbal and written
  • Polite and professional demeanour
  • Excellent customer services skills
  • Strong organisational skills with the ability to prioritise own workload
  • Professional telephone manner
  • Self-motivated, proactive and committed with an accommodating attitude
  • Highly competent in the use of Microsoft Office
  • Ability to work on own initiative as well as part of a team
