Temporary Dental Receptionist

Our Oxford based Client is looking for an excellent Dental Receptionist to carry out reception and related administrative duties throughout their Practice and perform such other tasks as reasonably requested by the Manager or any member of the Senior Management Team. The candidate will report to the Practice Manager and Senior Management Team.

The role will work on shifts Monday - Friday. The hours to be covered are 8am - 8pm separated into two shifts. The role will pay £12-13 based on experience.

Employment Duties

  • To perform a high-quality reception service and maintain a high standard of customer service.
  • To establish and maintain productive working relationships with all members of the dental team.
  • To assist with the supervision of trainee receptionists in the Practice
  • To take reasonable care for her/his own health and safety and that of others who may be affected by her/his acts or omissions at work.
  • Carry out routine house-keeping procedures on the computer and reception / waiting areas.
  • Identify his/her own training and development needs to be discussed within staff appraisal.
  • Assist throughout the practice and perform such other tasks as reasonably requested by the Manager or Senior Management Team.

Key Responsibilities


  • Ensure a high level of Customer Service is always delivered to patients

    • Ensuring a presentable appearance
    • Greeting Patients with a Smile
    • Addressing patient by surname or Sir/Madam
    • Ensuring compliance with the confidentiality agreement
    • Ensuring the telephone is answered politely and efficiently within 3 rings- if busy answer and ask them to hold or take their name and number and call the patient back
    • Recording a clear and concise answerphone message
    • Prioritising and call patients that have left messages
    • Completing a phone tracker
    • Being familiar with the complaints procedure
    • Handling all patient queries - answer any questions you can, otherwise ask for help from someone else
    • Being as helpful as possible


  • Money Handling

    • Following the cash handling procedure
    • Reporting any inconsistencies to the Practice Manager in a time efficient manner
    • Tracking payments and explain to the patients the practice policy for payments in advance
    • Ensuring that FP17DC forms and money taken are consistent with each other
    • Documenting any refusal to uptake treatment
    • Ensuring non-payment logs are completed on a daily basis
    • Checking debt lists on a daily basis and send out appropriate account letters.
    • Ensuring that all cash payments are recorded on cash sheets at the time of payment.
    • Ensuring the cash handling procedure is adhered to when counting the float at the end of the day
    • Printing the daily sheet at the end of the day


  • Administrative Duties

    • Taking patient details for all telephone calls
    • Accepting new NHS and Private patients over the telephone
    • Encouraging patients to book appointments when they call
    • Maintaining patient records, data handling in accordance with our data protection policy
    • Ordering stationary
    • Scanning MH, PR forms, Lab dockets and incoming documents
    • Ensuring Patient Satisfaction Surveys are completed
    • Checking the diary on a daily basis and send texts for Cancellations, FTAs recalls or letters if there is not mobile phone number available
    • Checking list appointments on a daily basis to ensure recalls are being sent
    • Diary utilisation - ensuring the diary is full
    • Keeping the Practice manager fully informed if the books are low
    • Managing recalls
    • Documenting communication with patients using pop ups
    • Ensuring the SOE System is maintained accurately and efficiently
    • Ensuring that all patient data is up to date and accurate
    • Being familiar with the refunds procedure
    • Preparing relevant patient documentation for the next days appointments including MH and PR forms
    • Updating and printing out the fire sheet every morning
    • Completing the lab work tracker on a daily basis
    • Maintaining the referral tracker - scan referrals onto patient records, make notes on the tracker then send to the referral centre


  • Marketing

    • Promoting products and services within the practice
    • Discussing with patients' options for alternative treatment
    • Ensuring a good working knowledge of all procedures offered in the practice
    • Selling products including but not limited to toothbrushes and air flosses
