Leading US law firm is looking to hire a new receptionist to join their award-winning Front-of-House team working both on the main reception and conference room/client floor.  This role will be a 35-hour shift, rotating between 7:30am to 8:30pm.  Duties will include excellent telephone manner when dealing with all internal/external calls, requests and recording of messages; meet, greet and escort clients and visitors to meeting rooms, determines the nature of their business, and provides appropriate information; register visitor names in the building security system; may authorize access as appropriate; page attorneys, staff, and visitors and relays messages when page is answered; refer guests to appropriate individuals in the office or contacts that person by telephone; co-ordinate with outside vendors, clients, building management, and/or security for afterhours guest services; utilize Event Management System (EMS) to schedule conference rooms and visitor offices; may also run multiple reports in EMS including catering and technology requests for conference rooms and visitors; works with the conference room or guest office requestor to ensure all items for office or conference is available; communicates the needs of conference and visitor office occupants to appropriate departments as needed; organizes transportation arrangements; maintain a neat and clean lobby and reception area; perform general administrative duties as needed; ensure correct billing information is entered into EMS; co-ordinate with the facilities team, ensuring the correct room set-up information is shared; assist Guest Services Staff with their conference and reception area duties; scheduling conference rooms, setting up conference room equipment, and providing necessary amenities and services as needed, such as ordering and putting away meals; assist with special projects on various issues as needed; promotes effective work practices, works as a team member, and shows respect for co-workers.  Applicants need to have previous legal reception or elite retail experience of at least 18 months.  Candidates need to have excellent communication skills, both written and verbal and be highly organised and proactive.
