Our client, a leading London based property company is looking for Lettings Operations Co-ordinator to come and join their fun young team. Day to day duties will include:

Production of lettings related correspondence, including accurate typing up of property details and use of standard letters. Typing up of other tenancy related documentation including Tenancy Agreements, Offer letters, Invoices etc.
Responsible for the deal progression of each let and carrying out frequent meetings with the Lettings Manager to discuss administrative actions required
Ensuring paperwork and funds are received prior to each move in.
Taking online payments and sending appropriate paperwork to the Accounts Team.
Liaising with other departments within the company
Entering new properties onto the Database
Market Appraisal preparation – Preparing MA packs for managers and provide market reports if required.
Diary management – booking market appraisals, viewings, tasks and reminders.
Liaising with clients, other agents, photographers, floor planners, contractors etc to book and arrange floor plans, photographs.
General Office Duties also include:

Monitoring the security of property key storage and maintenance of the key booking-out system.
Maintenance of the paper filing and archive systems, ensuring files are weeded prior to archiving.
Collation of attendance records, time sheets for part-time staff and passing them on to Head Office
Incoming and outgoing post for building, re-crediting of the franking machine.
The continued functioning of office IT, fax, photocopiers, printers, franking machines etc; call out of contracted maintenance firms as required.
Monitoring of stationery levels and ordering as required.
Sending expense forms/invoices to accounts.
Greeting clients, applicants and members of the public when they visit the office.
