Executive Assistant

We have a great opportunity for an Executive Assistant to join a leading international executive search firm who are ranked among the top 40 search firms in the world who work for purposeful organisations that are shaping some of the most important outcomes in our world today!

This position reports to the Global Operations Partner, who will offer functional, operational, and developmental guidance. On a practical basis, most of the day-to-day work will be directed through the Directors.

Main responsibilities:

  • Organise the Directors' diaries, ensuring efficient scheduling of meetings, coordinating with all relevant parties to ensure the best possible use of time, and resolving clashes/conflicts appropriately
  • Complex diary management including planning and arranging travel and accommodation for national and international meetings and trips
  • Act as the first point of contact for the Directors to ensure visitors and/or enquirers receive an excellent level of customer service, including screening calls on their behalf and greeting visitors as required
  • Prepare and coordinate agenda and minutes for meetings and produce day files as required
  • Responsible for meeting and greeting all visitors for the Directors, providing a professional and friendly welcome, and offering and providing refreshments
  • Liaise with Project Managers to organise attendance at client meetings as required
  • Deliver proactive, highly organised support for the Directors
  • Maintain and update the company's database including 'coding and listing' business development leads and details of any meetings taking place with individuals
  • Assisting in the creation and development of documentation ahead of management and team meetings, ensuring a high standard of accuracy and presentation is maintained
  • Plan and monitor progress and take follow up action for issues arising from correspondence/contacts and meetings to ensure appropriate action has been taken within the required timescales
  • Process expenses using relevant systems and procedures
  • Maintaining and updating project activity documents
  • Maintaining Panel Member database and ensuring GDPR compliance
  • Distributing twice yearly Panel Member Newsletter
  • Secretarial support
  • Board Meeting arrangements including collation of accounts and project status report and minuting
  • Supporting the drafting and proofing of contracts, reports, and propositions
