I have an exciting opportunity for an experienced EA to join a growing Global Investment Firm based in the City.



Provide high quality, intelligent, secretarial and administrative support. The skills and attributes required are excellent secretarial skills, both in typing, presentations etc and in organisation of travel, meetings etc; together with all round ability and common sense, flexibility and the willingness to be an important and integral part of the business, continuing to uphold and further progress the company as a leading brand name in the industry.



The workload will frequently not be a nine to five position, and will need some flexibility. The material you will be handling is likely to be highly confidential and will require the utmost care, discretion and attention in the way it is dealt with.



Key Responsibilities:

Full secretarial and EA support to Head of Real Estate Transactions Europe and team;
interaction with Country Heads and transaction team members in Sweden, Netherlands, Germany, UK, Italy, France and Spain;
assist with Investment Committee transaction recommendations, real estate allocation to capital sources using advanced Word, Publisher, PowerPoint and Excel;
Salesforce: Single point of contact Europe for any salesforce matters between the US and Europe. Ensure all European transactions are input in order that transaction introductions can be uploaded to the US driven system. Check Head of Real Estate Transactions Europe's monthly summary against salesforce data for discrepancies, update both as required, clarify / confirm any changes with the relevant European Transaction Manager. Enter Investment Committee voting results for any transactions.
frequent preparation / creation of slides for seminars, presentations and meetings - both external and internal - using advanced PowerPoint;
maintain and proactively manage calendar using Outlook, in addition arranging all team meetings with European transaction group (Sweden, Netherlands, Germany, UK, Italy, Spain and France), conference calls, webinars etc., booking meeting rooms, as well as organising external lunches and dinners;
research, organise and book travel (via travel agent) and accommodation for meetings, conferences, property viewings, asset tours - majority international - and create detailed itineraries;
prepare and submit monthly cash and credit card expenses;
creation of agendas for meetings and typing up of minutes of meetings;
transcription of letters, emails, memos and reports;
provide assistance to callers in a suitably professional manner. Receiving and passing on messages as appropriate;
file correspondence and general filing and electronic scanning;


Key Skills:



advanced knowledge of the full MS Office Package (including publisher);
knowledge of Salesforce;
able to manage sensitive and sometimes confidential information;
self-motivated and willing to take responsibility;
resilient to manage conflicting demands, able to prioritise duties;
able to demonstrate initiative and a proactive approach to daily tasks;
good interpersonal skills and able to work independently and as part of a team;
able to build good relationships at all levels, internally and externally;
reliable to clients, colleagues and supervisors; and
strong ability in self organisation including implementing a very well organised working environment with the UK and other European colleagues.
