PA to Chief Creative Officer - Art Gallery

A contemporary, global and innovative art gallery is looking for a highly organised and personable PA to join their small but dynamic London team. The gallery supports new artists, leading the way in their discipline, as well as focusing on the importance of raising awareness for global issues and continuously advocating positive change. 

They are looking for a PA to support the Chief Creative Officer and manage his schedule, as well as maintaining a smooth running of the whole office itself. Someone who is flexible, discrete and has a willingness to be part of this forward-thinking industry. 

Key responsibilities:

Personal Assistant

  • Coordinate local and international travel, as well as itineraries (e.g. visas)
  • Manage the CCO’s diary, organise and prioritise daily workload 
  • Draft and prepare presentations and correspondence
  • Act as the first point of contact, managing telephone and email enquiries 
  • Maintain and monitor the client database 
  • Assist the CCO in compiling invitations and RSVPs for events 
  • Complete expense reports for all credit card charges as well as cash reimbursement 
  • Any personal tasks as assigned by the CCO

Office Manager

  • Maintain the general appearance of the office
  • Maintain IT equipment 
  • General duties such as filing, copying, ordering supplies, office organisation, etc
  • Liaise with the property on all matters relating to the running of the office 
  • General errand running as required 
  • Other tasks or projects as assigned by management

  • Excellent communication and interpersonal skills 
  • Impeccable email and telephone manners
  • Exceptional organisational and time management skills
  • Great degree of flexibility  
  • Discretion when dealing with confidential and sensitive information
  • Proficiency in Microsoft Office 365 – including Word, Outlook, Excel and PowerPoint 
  • Ideally 2-3 years of work experience in a similar support role to high level executives 
  • Basic knowledge of contemporary art preferred, but not essential 
  • Fluency in English; good working knowledge of other languages desirable
