A boutique and vibrant finance company are looking for a new Head Receptionist/Facilities Co-ordinator to join their self-driven and collegiate team based in the heart of Mayfair!

The position is multi-faceted and will involve ensuring an efficient and pro-active running of new offices. This exciting role is looking for someone to take ownership over both the reception and facilities management.

Key Responsibilities:

  • Responsible for the delivery of a professional and warm front of house service
  • Setting and managing the rota for the Reception team
  • Manage daily meeting room calendars
  • Manage the switchboard and ensure all incoming calls are answered
  • Ensure that meeting rooms are set up and cleared promptly
  • Assist with arranging telephone and video conference calls
  • Sort and distribute post, franking external post and order couriers
  • General administration and other office management
  • Assist Team Assistants with relevant tasks
  • Other ad hoc duties as requested from time to time
  • Act as the first port of call for all facilities related enquiries
  • Responsible for managing Health & Safety
  • Manage the day to day relationship with the cleaning and maintenance companies
  • Respond appropriately to emergencies and urgent issues as they arise
  • Support the COOs with ad hoc reporting and tasks where appropriate

What they’re looking for:

  • Ideally 5 years’ experience of working in an office management/receptionist role with line management experience
  • Experience of supervising or managing receptionists and dealing with facilities
  • Demonstrable evidence of implementing solutions that are pragmatic and practical
  • Reliable, robust and pragmatic in approach
  • Ability to work calmly under pressure and to multiple deadlines
  • Client focused with strong interpersonal and communication skills
  • A self-starter with an ability to respond to issues quickly and develop practical ideas for their resolution
  • A team player with strong influencing and relationship building ability
  • Good working knowledge of Word, Excel, PowerPoint and Outlook
  • Ideally Line management experience
