We are currently recruiting for a fantastic Head Receptionist for a branding and communications agency based in Central London! The role is mainly reception based but also incorporates some office managerial responsibilities. The purpose of the role is to provide a friendly, welcoming, and professional front-of-house service to ensure the smooth running of meeting rooms as well as providing administrative support to the commercial and client services director.

Responsibilities Include:

  • Oversee and manage reception team- providing training, feedback and generally helping to develop their skills
  • Work with Commercial Director to ensure all areas including meeting rooms, reception, kitchen etc. serve business needs and standards
  • Act as the first point of contact for front-of-house, greeting clients and visitors, and ensuring they feel welcomed
  • Distribute mail, ensure stationery is well stocked, maintaining the staff holiday planner, manage and order meeting room catering, raise purchase orders as and when required
  • Co-ordinate the arrival and departure of clients and ensure that meeting rooms do not contain sensitive materials
  • Maintain and update the internal client's list
  • Booking staff travel- including flights, trains, and hotels  
  • Produce, edit and send a weekly internal newsletter to staff
  • Manage and co-ordinate events and provide assistance during them as and when required
  • Attend weekly meetings and implement suggested changes accordingly
  • Maintain a high level of morale and support a happy working environment through positivity and professionalism at all times
  • Help organise staff training and Away Day to a European city

What we are looking for:

  • Experience working as part of a busy and demanding front-of-house
  • Understanding of the demands of a creative industry
  • Ability to engage with all levels within the business and build strong relationships
  • An energetic self-starter who is proactive in anticipating opportunities and challenges and implementing solutions
  • Ideally completed some emergency first aid at work or fire warden training (or willingness to do so)
  • Excellent organisational skills
  • Ability to prioritise workload and to meet the needs of a flexible and demanding environment
  • Intermediate skills in Word, Excel, and Outlook
