A dynamic, fast-paced and growing executive resourcing firm is looking for a Team Assistant to join their team on a permanent basis. The successful candidate be will providing coordination and administrative assistance to the team in the delivery of services and helping them achieve business objectives. You will also be providing support on systems, processes, procedures and KPI management and any other reasonable duties requested by the business leaders.

Responsibilities:

  • Ensuring that colleagues are supported in their business development and project deadlines
  • Assisting with arranging external and internal meetings, demonstrating exceptional standards of customer care
  • Ensuring that contact with new customers happens without delay; helping them to understand how the company will support them
  • Co-ordinating and managing the team's customer pool ensuring all contract details included are in place and that regular communication and performance monitoring is maintained with customers working on assignments
  • Adding value and enhancing the perception of The Company though effective management of 'non target customers'
  • Working under the guidance of the Marketing Manager to execute support requirements for projects and programmes
  • Appropriately utilising the services of support staff, business processes and administrative systems to ensure effective, accurate and timely delivery of services
  • Acting as the first and central point of contact for the team; using initiative to effectively manage enquiries
  • Managing diaries and organising travel and accommodation in advance
  • Providing general research support and assist with surveys and benchmarking projects
  • Developing strong relationships within the team and working in a collaborative way to ensure knowledge is shared and best practice is implemented as part of a continuous improvement cycle
  • Ensuring that records are adhering to current legislation and that Data Protection requirements and the company processes and professional standards are maintained effectively
  • Acting as custodian of business information and ensuring key information is shared with teams and the business
  • Becoming the 'super user' for the team on the database, ensuring that data is captured in a timely and accurate fashion and that appropriate guidance and support is given to individual members of the team on its use
  • Continually reviewing and carrying out improvement and development activities to ensure that less manual intervention is required
  • Providing support and guidance in training new users on systems, processes and procedures

Essential Skills and Experience:

  • Minimum of 2+ years' of Team Assistant experience
  • Strong ability, passion and total commitment to ensuring efficient, effective systems, process and procedure management with outstanding attention to detail
  • Strong verbal and written communication skills
  • Excellent telephone and administration skills with the ability to handle multiple requests effectively
  • Strong online and offline research ability for sourcing facilities, travel, accommodation and event solutions
  • A 'can do' approach and proven problem solving skills
