A leader in the banking industry is looking for an Executive Assistant to join their team on a 12-month fixed term contract. The successful candidate will be providing administrative support to the Markets and Support Services teams including the Chief Operating Officer and Chief Financial Officer. You will be proactive and have the ability to build relationships and work well with different teams.

Responsibilities:

  • Providing general administrative support to the Global Markets and Support Services teams
  • Managing travel bookings for the Global Markets and Support Services teams
  • Providing executive assistance to the senior leaders
  • Arranging meetings including preparing agendas, building meeting packs, minute taking, typing and distribution of completed and approved minutes
  • Processing expenses and invoices, ensuring that claims are within policy limits
  • Ensuring the team adhere to corporate and regulatory requirements and assisting with compliance training enquiries
  • Assisting and participating in projects as requested
  • Maintaining and updating policy and procedure documents
  • Preparing presentations and information for Head Office when required
  • Ensuring risk parameters are monitored and reported, escalating significant issues to your manager Controlling all financial issues for your area of responsibility
  • Assisting the COO to implement new processes and procedures as required
  • Providing superior service aligned with client needs and the organisation's business objectives
  • Maintaining strong working relationships with all employees
  • Maintaining a superior standard of customer service at all times
  • Managing and successfully executing client and internal events from end to end
  • Coordinating all aspects of printed material associated with an event, including invitations,
  • brochures, signage, menus, name badges, place cards and seating plans
  • Adhering to budgets and ensure cost effectiveness at all times

Essential Skills and Experience:

  • A minimum of 1 - 2 years' experience as an Executive or Personal Assistant
  • Advanced knowledge of Microsoft Office systems
  • Comprehensive minute taking experience
  • Exceptional customer service skills
  • Proven ability to multi-task with superior prioritisation skills
  • Excellent communication skills both verbal and written
  • Ability to work without supervision
