A global construction company is looking for a Team Assistant to join their team on a 6-month fixed term contract. The successful candidate will be carrying out administration and office operations. You will be highly proactive with excellent organisation skills, competent with computer systems and comfortable operating in a fast moving, growing business.

Responsibilities:

  • Providing general administrative assistance to the Plant & Equipment department, acting as the first point of contact - screening phone calls and taking detailed messages where necessary, greeting visitors and provide appropriate hospitality as necessary and liaising with contacts on their behalf
  • Ordering required replacement parts, office equipment, IT equipment, and any other items requested in line with company process and procedures
  • Raising purchase orders
  • Matching delivery notes against purchase orders
  • Verifying and confirming invoices for payment
  • Working closely with accounts payable and finance teams to ensure all internal company charges are invoiced in a timely manner
  • Dealing with queries arising from above
  • Managing / coordinating diaries for the team as required, liaising with Reception to arrange meeting rooms and hospitality as required
  • Ensuring that company standards are met regarding documentation processes
  • Sorting assigned post and dealing with routine enquiries and confidential correspondence, drafting replies where possible
  • Typing and proof-reading correspondence and reports accurately and in a timely manner, using Microsoft Word and Excel
  • Producing presentations using PowerPoint software.
  • Minute taking and producing list of action points from meetings when required
  • Updating and keeping archive and document registers up to date, arranging filing and archiving where necessary
  • Maintaining confidential files for the Plant & Equipment department
  • Assisting project members and other users with regards to document control support

Essential Skills and Experience:

  • A minimum of 4+ years' experience in an administrator or team assistant role
  • Fluent user of Microsoft Office
  • Possess a reasonable level of independence & responsibility
  • Ability to adhere to the company procedures and standards
  • Strong analytical skills and passion for detail
  • Proactive, dynamic and flexible individual
  • Be able to work under stressful conditions by setting up priorities
  • Good interpersonal skills
