One of the world's leading artificial intelligence and research company's is looking for an office coordinator to join them on a temporary basis for 6 months. The successful candidate will have previous experience in a high level coordination role. You will be outgoing, have excellent verbal and written communication skills and passionate about creating a positive team culture.

Responsibilities:

  • Coordinating and delivering office projects
  • Maintaining excellent communication channels between the international offices and colleagues
  • Managing delivery of daily office activities and services
  • Liaising with vendors and building management to coordinate services
  • Reviewing, verifying & approving vendor-provided reports, purchase orders and invoices
  • Conducting regular office inspections including inspecting and evaluating the physical condition of furniture & fittings, organising repairs & replacements where necessary
  • Maintaining and supporting workplace goals and objectives in line with the company's strategy
  • Creating, developing, implementing and managing workplace processes, procedures and emergency response in an evolving environment, organising training where appropriate
  • Cultivating a collaborative, friendly and fun work environment that fosters innovation and productivity
  • Working closely with Corporate Security on safety and security queries and concerns including organising and approving workplace related visitors for on-site events and visits
  • Participating in updating the intranet related to the building to keep employees abreast of any updates changes in policy, activities, plans
  • Coordinating and assisting with meeting room/event/ancillary set ups & arrangements as required
  • Managing conference room calendar data, making changes when required
  • Researching and help to implement new innovative environmental efforts to improve and reduce environmental impact

Essential Skills and Experience:

  • A minimum of 2+ years administration experience in a fast-paced training coordination or administration role
  • Excellent verbal, written communication skills, and enjoy presenting to large audiences
  • Ability to manage expectations with input from several stakeholders
  • Highly organised, take pride in getting the details right the first time
  • High adaptable and able to think on your feet
