A leading global private equity firm is looking for a Personal Assistant to join their team on a 10-month fixed term basis. You will be providing administrative and legal assistant/paralegal support to several members of the team. The successful candidate will need to have strong interpersonal and communication skills and the ability to build relationships with a wide variety of individuals, internally and externally. Reliability and a can‐do, proactive attitude is a must along with having an outstanding commitment and sense of dedication to understanding, fulfilling and anticipating the professional's and office's needs and priorities

Responsibilities:

  • Providing comprehensive administrative support to professionals. Answer, screen and direct incoming calls, visitors and correspondence
  • Managing busy calendars and assist with time management/ensuring calendars are adhered to, including strategic planning and prioritisation of calendars
  • Scheduling external and internal meetings, greet and direct guests, and coordinate any needed video conference and/or conference calls
  • Organising board meetings
  • Scheduling domestic and international travel itineraries
  • Liaising with both internal and external Assistants (e. portfolio companies & investors) to coordinate meeting schedules, etc
  • Completing monthly corporate, out of pocket, and mileage expense reports
  • Ensuring that all professionals are prepared for all internal & external meetings (print meeting materials, deal diligence materials, etc.)
  • Maintaining accurate and up-to-date contacts
  • Managing internal files and maintain the confidentiality and organisation of file contents.
  • Assisting with administrative and regulatory filings and maintaining up-to-date files relating to regulatory compliance
  • Providing assistance and paralegal support to the Legal team
  • Managing signature requests, maintaining, monitoring and updating the Companies House record
  • Obtaining final executed documents and putting into legal document management system
  • Setting up board meetings including arranging board notifications, if needed
  • Assisting with additional legal assistant/paralegal duties as requested
  • Provide backup support to other administrative professionals and investment professionals
  • Ad-hoc project work as needed

Preferred Skills and Experience:

  • 5 years of relevant experience; preferably within private equity or a financial institution
  • Flexibility in hours as start and end times will vary greatly and can be unpredictable
  • Excellent organisational and project management skills
  • Ability to juggle multiple tasks, professionals and changing priorities in an effective and timely manner
