A leading media company is looking for a Team Assistant to join them on a 15 month fixed term contract. The successful candidate will be providing administrative support to the team as well as PA duties to the Directors. You will be able to work well under pressure, incredibly organised and have excellent interpersonal skills.

Responsibilities:

  • Assisting with monthly reconciliation
  • Processing the charge copy at month end, processing ASOP orders for sales team and uploading order confirmations onto BOX for all orders
  • Producing performance reports for advertising customers
  • Copying chasing with clients direct or agency for advertisements
  • Liaising with contributors over invoicing and payments
  • Developing and filing contributor agreements, including updating with changes company policy and legal requirements (eg changes in copyright law) File in BOX
  • Building 2 x daily e-newsletters and one weekly
  • Invoicing and raising POs, managing and recording of these on relevant cost trackers
  • Assisting with PA support to senior management team including room bookings and diary management
  • Providing a first point of contact by phone and email for all students and potential customers
  • Working closely with subscription fulfilment house to ensure customers are renewed and correctly registering students on courses, maintaining databases and producing reports for corporate subscriptions
  • Uploading content online
  • Managing and resolving student and other inquiries; reporting back to technical team any user issues for fixing
  • Issuing lost certificates for legacy business

Essential Skills and Experience:

  • A minimum of 2+ years admin experience within the media industry
  • Able to work under pressure, prioritise and handle multiple tasks
  • Self-motivated and proactive
  • Excellent PC skills, including Word, Excel, PowerPoint, internet
  • Experience of generating and preparing reports
  • Excellent written, telephone and face-to-face communication
  • Ability to communicate at all levels and form professional relationships with internal and external contacts and customers
  • Knowledge and Experience of Oracle desirable
  • Experience with invoicing and order processing desirable
  • Familiarity with web content management systems desirable
