A global social technology company is seeking an experienced Executive Assistant on a minimum six month contract to support two senior leaders within the technology department. The ideal candidate will need to be a masterful problem-solver and an organizational expert given the complex calendar management and travel planning involved. You will be efficient, a self-starter with an ability to operate effectively in a fast paced, ever-changing environment.

Responsibilities:

  • Providing a high level of administrative and operational support to two leads and the wider team of 100 including calendar management, travel, expenses and other ad hoc administration duties
  • Organising and managing team off-sites, events, and activities for the Director's team, the leadership team and organisation
  • Following and maintain budgets, research best options, coordinate the logistics including meals, transportation, onsite activities, invoices, etc
  • Ensuring and maintain a good level of communication across the team and leadership group, track changes, and manage agendas for multiple team meetings
  • Assisting with project managing different events for the leadership team
  • Managing the internal tools and various groups
  • Building strong relationships with different stakeholders such as facilities, events, space planning and security
  • Collaborating with other admins and be available to help plan team events as needed
  • Managing and welcoming visitors from global offices and providing an ad-hoc support, if required

Essential Skills and Experience:

  • At least 3+ years of full-time, recent administrative experience directly supporting 1 or more Director level
  • Experience of supporting the leadership team within a fast-paced, high-tech international team environment
  • Strong calendar management, travel scheduling, budgeting and project-management
  • Effective organisational skills, with a demonstrated attention to detail and the ability to handle multiple priorities in a fast paced environment
  • Team player with strong interpersonal and communications skills
  • Creative with the ability to generate new ideas and inspire other team members
  • BA/BS degree or equivalent
