A global not-for-profit organisation is looking for an Executive Assistant to join them on a temporary four month basis. You will be providing executive and personal assistance to two Senior Directors. The role will be varied and will suit somebody good at multi-tasking and combining an eye for detail with interest in supporting both senior leaders in developing the 'bigger picture'. The right candidate will be efficient, diplomatic and have the inter-personal skills to deal with senior staff and trustees.

Responsibilities:

  • Managing both Senior Directors' diary and arranging their daily schedule
  • Assisting with international travel arrangements, and preparing detailed travel itineraries including visa applications when necessary
  • Coordinating and collating pre-meeting briefings and plan meeting agendas
  • Formatting documents for internal and external communications
  • Monitoring both Senior Directors' inbox
  • Handling all logistic arrangements for meetings, events and work shops
  • Screening and directing phone calls
  • Maintaining the electronic filing system
  • Assisting with ad-hoc projects
  • Liaising between other members of the Senior Management Team as required
  • Scheduling and supporting all-staff meetings
  • Managing non-department specific in-coming visitors
  • Supporting the Executive Assistant and Board Liaison when required

Essential Skills and Experience:

  • Degree or equivalent experience
  • Minimum two years EA or PA experience
  • Excellent administration skills with the ability to plan and prioritise work for self and others
  • Highly computer literate and confident with Word, PowerPoint, Outlook and Excel
  • Excellent time management skills
  • Excellent communication skills, including a high standard of written and spoken English
