An international leading commercial real estate services company is looking for an Executive Assistant to join the team on a permanent basis. Your role will be to provide proactive, efficient and effective secretarial support to four Directors, as well as providing secretarial and administrative support to the rest of the team members.

Responsibilities:

  • Maintaining information with regards to all projects carried out by the team
  • Being the first point of contact and taking responsibility for knowing each member of the team's area of responsibility
  • Processing expenses for Directors
  • Raising new files and issuing fee accounts for each job including sending out final invoices to clients
  • Managing monthly fee forecasts for the team
  • Raising fees and ensuring all fee deadlines are met
  • Opening files for new jobs, creating Conflict Checks and inputting new clients to Contact Management
  • Inputting information into databases
  • Dealing directly with clients, responding to enquiries and building a working relationship with them
  • Using all IT Applications including Tardis, Job Management (Salesforce), Contact Management and Filetrack
  • Participating in pilot schemes for new systems and improving the development of these
  • Using Pro-map and Goad to generate plans for reports
  • Arranging meetings and updating diaries, both paper and electronic
  • Ensuring that all travel and meeting rooms are booked for meetings and events
  • Carrying out any other reasonable management requests

Essential skills and experience:

  • Degree educated preferred
  • Ability to work without supervision in a confident manner to support the Team Directors and manage queries in their absence
  • Excellent written and oral communication skills
  • Excellent time management and organisational skills
  • Ability to work under pressure and to tight deadlines
  • Must be able to pick up new systems at a fast pace
  • Must be a team player who is able to follow instructions
  • Intermediate knowledge of Microsoft Office products
