A leader in the technology and online industry is looking for a PA to join the team on a temporary basis. You will have solid experience supporting at a Senior Executive level and will be the heart of your team's business operations and activities and the soul that keeps your team moving forward. You will anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise.

You will also strategically support your team's projects. In addition to being organised and analytical, you possess the strong business judgement and communication skills needed to interact with a variety of people and job functions. You will have bags of energy and a keen interest to grow your career in supporting and enabling others.

Responsibilities:

  • Assisting with the coordination of complex diaries for meetings, conference calls and appointments across numerous time zones and on behalf of multiple people
  • Providing diary support
  • Supporting the team with booking domestic and international travel for example, hotel and restaurant reservations, flight check-ins, visas, foreign currency, full travel itineraries and overseas transport
  • Assisting with coordinating team meetings, booking rooms and arranging refreshments for external meetings
  • Welcoming guests and ensuring they have a great visitors experience
  • Supporting the team with arranging business and team events e.g. off sites, lunches, talks, seminars, visitors
  • Assisting with maintaining a database of contact details of key colleagues and professional contacts
  • submitting expense claims and approving purchase order requests
  • Scanning, copying, filing and maintaining an effective archiving system
  • Working closely with the wider Operations team to provide support during busy periods

Preferred Skills and Experience:

  • Bachelor degree
  • Strong organisational skills
  • Effective communication skills including the ability to communicate and collaborate with a diverse range of people across job functions
  • Experience with calendar management, high-volume travel scheduling and booking and budgeting of events
  • Experience of communication at high level with Executives and Government officials
  • Strong business judgement
  • Ability to multi-task, and work efficiently in a high-paced environment
