One of the world's leading business schools is looking for an Administrative Assistant to join their team on a long-term temporary ongoing assignment. You will be assisting the fundraising team in supporting scholarships and academic positions, research centres and other projects. You will provide vital administrative support to the Development teams, Advancement Division and work closely with the Heads of Development for these areas.

The post holder will be a proactive self-starter, able to work efficiently, build strong relationships, work well both independently and with others, solving problems, providing information and workable solutions to issues as required. The ability to prioritise tasks effectively and communicate clearly is essential.

Responsibilities:

  • Managing and maintaining relations with prospects, client representatives and external suppliers
  • Attending regular meetings to review the status and strategies for prospects
  • Performing detailed manipulation and analysis of data about prospects and donors, to make recommendations and organise priorities
  • Working with the wider division to ensure that the main alumni and donor database, The Raiser's Edge, is the sole and accurate source of data
  • Running basic reports and queries and presenting the results for internal or external audiences
  • Drafting agendas, minutes and action points for team meetings and other ad-hoc operational meetings
  • Maintaining a tracking and filing system to manage both paper and electronic files and correspondence
  • Completing research tasks independently using desk-top media, databases and other resources and presenting results clearly, concisely and appropriately for the relevant audience
  • Assisting with team projects as appropriate
  • Maintaining annual leave and sickness records for the team
  • Processing financial requirements including expense claims, credit card statements, raising purchase orders and journaling costs across budgets
  • Providing full support for a heavy meetings schedule including complex diary management, coordination of meetings and distribution of papers
  • Screening, prioritise and deal appropriately with phone calls, post, queries, invitations and emails, including drafting of responses
  • Managing complex international travel arrangements including accommodation, and all aspects of itineraries
  • Preparing correspondence, including proof-reading, editing, formatting and analysing information and statistical data
