A leading international banking provider is looking for an EA to join their team on a permanent part-time basis. You would be working three days a week and providing support to the Executive Director and Specialised Finance Teams. You will be managing all administrative aspects for the Executive Director and Infrastructure and providing support the wider Specialised Finance teams.

Responsibilities:

  • Delivering administrative, secretarial and business support to the Executive Director and the specialised finance team
  • Providing diary, telephone and e-mail management to ensure the Executive Director is sufficiently prepared for the day's meetings
  • Organising and scheduling meetings, facilities and resources
  • Booking travel ensuring adherence to policy
  • Organising catering and conferences
  • Managing staff issues including expenses, training, leave monitoring and scheduling, position descriptions and position management, resumes, new recruit set up and telephone listings
  • Managing complex reporting and assistance in the creation of presentations
  • Coordinating standing meetings including providing advance agendas, taking minutes and ensuring all actions are followed-up and completed
  • Managing stationery ordering and provisions for the department
  • Managing staff workspace allocations, IT and telephone access
  • Managing correspondence in and out
  • Providing assistance and coverage for other support staff as required

Preferred Skills and Experience:

  • Demonstrated EA experience supporting senior management level
  • Exceptional relationship management skills and the ability to deal with people at all levels
  • Ability to accurately and effectively manage a variety of administrative and business management tasks
  • A confident, pro-active, self-assured individual with a high level of integrity and discretion
  • Advanced experience with MS Office, Word, Excel and PowerPoint
  • Ability to deal effectively and build relationships with Executive Assistants, PA's of both internal and external clients at a senior level
  • Strong attention to detail
  • The ability to manage workflows, prioritise and work well under pressure
  • Experience of a job share role, efficient and organised handover of ongoing tasks
  • Sound knowledge of PeopleLink, PeopleSoft Financials, Workday and Portman booking system
  • Banking or Finance background
  • Degree educated
