The role:
An Executive Search PA is a complex external facing position that requires a balance
between being a key point of contact between senior executives, candidates, clients
and internal stakeholders, and managing a heavy administration workload. You will
be the driver of the search timeline, ensuring that key deliverables are achieved at
each stage (presentations & pitches, reports, shortlist and long-list packs and
interview scheduling) as well as the more traditional aspects of a PA role such as
proactively managing your Executive’s diary and inbox, assuring their time is utilised
efficiently. This is a structured role in so much as the search process, so would suit a
structured person. However the flipside of the role is dealing with people, so you also
need to be able to deal with constant change and disruption.
Key Job Responsibilities:
Project coordination of the Executive Search assignments, as part of the project
team:
Manage the search timelines ensuring deadlines are met, action points are
responded to and all necessary documentation is completed
Keep researchers and fee earners abreast of timelines and constantly follow
up to make sure deadlines are met
All invoice management for the search assignments
Keep the database (File Finder) up to date at all times
Full PA support
Complete ownership and management of the diary and inbox
Complex, demanding and ever changing diary management; liaising between
clients and candidates, arranging interviews, client meetings, business development appointments and a variety of other internal and external meetings
Stakeholder Management; develop robust working relationships with all internal
and external stakeholders, both yours and those of your fee earner and the

Written work
Preparation of candidate reports and other materials
Audio & copy typing
Preparation of presentations and pitch documentation including research
packs and preparing marketing materials (PowerPoint essential, InDesign
advantageous)
Business Development
Organising events; lunches, corporate hospitality; liaising with our in-house
caterers and events team or at times arranging external events independently
Responding to potential new business enquiries as the first point of contact,
ensuring enquiries are handled in a swift and professional manner
Maintaining client relationships and scheduling business development
meetings for the practice with current and prospective clients
Other Admin such as travel, expenses, invoicing, filing and administrative tasks
The Candidate:
The role will suit a process driven, team player with no pretensions and extreme
organisation skills. You will need to be flexible and adaptable in a fast moving, ever changing environment. You will be an experienced PA with multiple stakeholder
management experience, on behalf of your exec, or some complex client/external
facing aspect to your position. Experience in a professional services environment is
essential and Executive Search experience is advantageous.
