EA & Office Manager – 12 Month Maternity Cover

 

Marcilly Recruitment’s client, an international investment firm is seeking an EA & Office Manager for their London office in Mayfair. This is a 12-month maternity contract to cover the Senior EA, and also fill in for the Chief of Staff who is relocating to their Singapore office. You will then take on mentorship of the new Team Assistant who will assist you in office management and upkeep.

The successful EA & Office Manager will support three members of the senior leadership team, including the leading Investment Director, one Co-founder and the General Counsel, with support focussed on the Investment Director.

 

Salary: £45,000 - £55,000 – maybe some flexibility for the perfect candidate

Benefits: Generous discretionary annual bonus; 25 days holiday, pension, medical

Location: Mayfair – office based five days a week

Hours: 08:00 – 18:00

Start date: ASAP

 

EA & Office Manager responsibilities will include but are not limited to:

  • Busy diary management and meeting arrangement, with particular focus on the Investment Director.
  • Management of extensive travel often with last minute changes – organisation of any travel requirements including flights, hotels and tickets.
  • Working closely with team members from other offices.
  • Meeting planning and/or scheduling, often with overseas clients and contacts at all levels
  • Event Management – organisation of any team socials, internal dinners, drinks, client dinners or networking events.
  • Marketing, website management and communications.
  • Office management, ensuring the office and meeting rooms are kept to a very high standard at all times.
  • Working with the receptionist to meet and greet clients and ensure they are prepared ahead of meetings.
  • Office supplies and managing supplier relationships, negotiating contracts etc.
  • Expense reporting and financial management.
  • Work closely with the Team Assistant and train them up to take on more office management duties.
  • The opening and distribution of post, stationery ordering and managing any vendors who service the office (cleaners, energy, network, etc.)
  • Setting up and maintenance of the office space and meeting rooms.
  • Main point of contact on a day-to-day basis for all admin/office queries.
  • Dealing with investment packs, share certificates and legal documents.
  • Client relationship management and investor relations.
  • Managing all client gifting alongside the Team Assistant.
  • Being the main point of contact for the landlord.

 

EA & Office Manager Key Criteria:

  • 4-5 + years’ experience working as an EA / PA with office management experience
  • Ideally someone immediately available or on a week’s notice
  • Exceptional attention to detail whilst always maintaining the highest standards
  • Must be proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Calm, upbeat and unflappable Ability to demonstrate initiative
  • Have a flexible and proactive approach
  • Ability to multitask, plan, prioritise and organise
  • Exceptional communication skills, both written and verbal
  • Exceptional follow through and the ability to keep on top of a busy workload
  • Ability to work independently 
  • Be able to maintain the highest degree of confidentiality and discretion
  • A financial or legal services background is desirable
  • Desire to work in a collegiate and dynamic team, to be a true team player
  • Extremely resourceful, resilient and adaptable
