Junior PA Job Description
Marcilly Recruitment’s high-profile client is seeking a Junior PA to come in and support the Chief of Staff and Senior EA. The successful candidate will be able to learn the ropes and take on responsibility managing both the principal’s personal and business needs. This is an amazing opportunity to have two mentors to enable the Junior PA to grow and take on more and more responsibility.
The successful Junior PA will be someone who is hugely personable, charismatic, loyal, enthusiastic and capable of working in a pressurised and demanding environment with a huge workload, working efficiently with pace. They must be a strong team player with excellent communication and negotiation skills. What is paramount for the role is a good eye for detail, delivering the very highest of standards in every aspect of your work.
The ideal candidate will have experience as an assistant in a business setting or within luxury travel / yachting. The transferrable skills need to be there for a Junior PA role at this UHNW, high-profile level.
Junior PA Responsibilities
- Assist in the day to day management of the main residence in Notting Hill. Bills, utilities, stock management etc.
- Liaise with household staff on the principals’ schedules and plan accordingly.
- Maintenance and upkeep of London residence: excellent attention to detail required to ensure any maintenance or tech issues are spotted ASAP and rectified. Conduct regular inspections, arrange repairs, manage inventory. Accompany and schedule all contractor/maintenance visits to London residence, ensuring protocol is met.
- Manage/take care of visitors and guests to London residence. Ensure house staff are aware of arrivals/departures/requirements ahead of time.
- Help to organise and coordinate events and parties at London residence.
- Liaise with the Chef on daily basis to confirm menus for the principals, keeping chef & housekeepers up to speed on movements & timings.
- Ensure London residence is fully prepared for family arrival - flowers, food stock, cleaning/maintenance etc.
- Assist the other assistants in global travel planning. Conducting research and contacting suppliers.
- Assisting with wardrobe management and packing and unpacking for regular travel.
- Monitoring household supplies and reordering. This will be anything from the principal’s toiletries and supplements right through to cleaning products, candles etc.
- Assist the other assistants in booking personal and business appointments.
- Assisting with timekeeping and anything required ahead of meetings and appointments.
- Assisting in luxury lifestyle management.
- Personal shopping and research into gifts, art, clothes, jewellery, furniture, tech etc.
- Work closely with the nanny to help manage the children’s need.
- Assistance in event management.
- Restaurant reservations and keeping your finger on the pulse with all the top things to do in London, the UK and internationally.
- Liaison with international staff to coordinate the principal’s travel schedule, arrival and ensure all preferences are catered for.
- Keeping track of expenses and filing.
- Building a black book of contacts across the whole lifestyle spectrum.
This will be a hugely varied role, working in a very intense, fast-paced environment, but you will be part of a great team who are all in it together. You will have two wonderful mentors to learn from and really advance your career as a top-level PA. It will be what you make of it.
