Estate Office is a successful industry leading property consultancy seeking a well-rounded PA/Administrator to support our company Director and dynamic and experienced team of agents. Your role will be to assist in areas of the business including PA support, project support, and ensuring the effective implementation of administrative processes. The ability to multi-task, prioritise and organise are paramount in being able to successfully deal with changing priorities and a varied workload, as well as the ability to work flexibly as you manage simultaneous tasks. You will need to be personable with an excellent telephone manner as you will be answering calls from established and prospective clients. Key Responsibilities

  • Providing diary management to the company Director.
  • Booking client lunches, dinners and meetings.
  • Assisting with company charity and/or property events and liaising with the relevant organisers and administrators.
  • Arranging Zoom/Teams meetings and conference calls as instructed.
  • Domestic and overseas travel arrangements including booking train/plane tickets, hotels, car service and meeting venues.
  • Drop off/collect dry cleaning.
  • CRM database maintenance and updating the company’s contacts and listed properties.
  • Answering the telephone, noting enquiries and distributing to the relevant team members.
  • Email correspondence.
  • Creating and maintaining property files.
  • Drafting sales memorandums and letters.
  • Implementation and continued monitoring of legally required documents including AML.
  • Land Registry searches as and when required.
  • Company searches as and when required.
  • Maintain physical and digital company files and folders.
  • Update templates, guidelines and forms for the wider use of the team as necessary.
  • Maintain and update Stock List.
  • Liaise with external IT company to ensure technical issues are dealt with in a timely manner.

Essential Requirements

  • Extremely organised
  • Strong multi-tasking skills
  • Excellent communication skills including professional telephone manner and strong writing ability
  • Ability to prioritise workload and adapt to changing priorities and deadlines
  • Work on own initiative and be proactive in finding solutions to problems
  • Willingness to work flexibly across simultaneous tasks

  • Strong accuracy & attention to detail
  • Ability to work unsupervised and with autonomy whilst being able to work well as part of the wider team
  • Ability to anticipate needs of the team and prepare accordingly

  • Helpful approach with a willingness to do a job thoroughly and to the best of your ability
  • Proficient with all Microsoft Office Packages
  • Strong IT Skills
  • Minimum of 2 years in a PA/Team Assistant role – Property experience is essential.

Pay: £40,000-£45,000 per year
