We are looking for a highly organised and proactive Private Assistant to support a high-profile, busy and dynamic individual based in Sharjah, UAE. This is an extremely hands-on role with a diverse range of responsibilities, including diary, travel, property, finance and household management. This is a permanent role (Monday to Friday) based full-time in Sharjah (United Arab Emirates). This role offers a generous package, including family benefits & relocation assistance for international candidates.

Some key responsibilities include:
Personal Support and Household Affairs Management:

  • Provide comprehensive personal support to the Owner/s, ensuring the smooth running of all family and household affairs.
  • Oversee the management of properties and operations globally, maintaining the highest quality standards.
  • Take ownership of private requests and coordinate various tasks to support the Owner/s.

 Property & Household Management:

  • Manage property projects and serve as the main point of contact for all household matters.
  • Oversee suppliers, liaise with interior designers, and manage household works and repairs.
  • Coordinate with insurance brokers to ensure up-to-date policies and comprehensive coverage.
  • Manage household staff, address HR issues, handle salary payments, arrange visas and vacations, and maintain staff schedules.
  • Maintain an organized rota for household staff and schedule necessary work.
  • Maintain an extensive inventory of fine artwork and wine.

 Private Assistance/Administrative Responsibilities:

  • Arrange private appointments for family and friends.
  • Handle private orders and purchases on request.
  • Manage and organize the Owner/s' diary, scheduling appointments accordingly.
  • Oversee private birthdays and gift listings, including assistance with Christmas gifts.
  • Manage the annual custom Christmas card, organize distribution, and maintain accurate Christmas list information.
  • Oversee the Art collection, insurance, and all correspondence related to shipments and damages.
  • Manage paperwork for auctions and bidding proceedings.
  • Oversee wine collections and purchases.

Travel Management:

  • Provide private support to the Owner/s for all travel bookings, including family and friends' travel arrangements on both commercial airlines and private charters.
  • Source holiday options for Owner/s and family travel plans.
  • Coordinate visa applications for family and friends.
  • Build and maintain working relationships with external travel providers.
  • Be available to travel with the family on trips as required (infrequently).

 Event Management:

  • Assist in planning and executing parties at residences, including sourcing and coordinating caterers, site inspections, logistics, and entertainment.
  • Source venues, book restaurants, network, and build and maintain relationships with external contacts.

 Finance Responsibilities:

  • Manage payment of household bills and expenses.
  • Achieve cost-effective solutions and negotiate reasonable pricing.
  • Manage Private Office Expenses, petty cash, and staff budgets

Minimum Qualifications:

  • Bachelor’s degree in a commercial or business discipline.

 Minimum Professional Experience:

  • Min. 8 to 10 years of experience with a strong secretarial background.
  • Must have at least 5 year’s working experience within a GCC Country(preferably UAE).
  • Excellent communication skills (written & verbal) in English.
  • Ability to prioritize and excellent time-management skills.
  • Ability to get things done on behalf of the owner (can-do attitude)
  • High level of confidentiality and organizational skills.
  • Flexibility in terms of working hours.
  • Attention to detail and ability to meet competing tight deadlines.
  • Adept computer skills, particularly in MS Office.
