Are you ready to step into a dynamic role offering Executive Assistance to Senior Leaders within a global Real Estate company? We're searching for a dedicated individual with a keen eye for detail, impeccable organisational skills, and a proactive approach to join our client. In this position, you'll be responsible for providing proactive and efficient assistance to a Senior Managing, as well as supporting one managing Director and two additional Directors.
What you will do:
As an Executive Assistant, you'll manage business schedules, serving as the key contact for diaries and coordinating meetings, conferences, and calls. In a fast-paced environment, you'll lead in handling schedules, resolving conflicts, and adapting to changes. Additionally, you'll manage travel and expenses, arranging bookings while adhering to company policies. Your responsibilities include extensive diary management, coordinating with internal and external contacts, and proactively resolving scheduling conflicts to meet team objectives. You'll prepare, format, and amend documents such as letters, reports, and presentations, and create presentation materials and charts from draft content. Drafting correspondence, performing general administrative tasks like typing, copying, printing, and binding, booking travel and accommodation, and presenting cost-effective options will be part of your duties.
What you will need:
Our clients ideal candidate is a dynamic and organised individual with excellent communication skills and a strong background in executive assistance. You should be adept at handling multiple priorities while maintaining a high level of professionalism. Key qualifications include proficiency in Microsoft Outlook 2010, Microsoft Teams, and Zoom, along with excellent skills in Microsoft Word, Excel, and PowerPoint. Prior experience as an Executive Assistant is essential. The successful candidate will be proactive, self-motivated, and able to use their initiative effectively. You must be able to assertively, efficiently, and calmly multitask and prioritise. Attention to detail and precision are crucial, as are high positive energy and a strong contribution to team spirit. A flexible, "can do" attitude is important, along with loyalty, discretion, and tact.
