Receptionist/Executive Office Assistant at a Highly Successful Shipping Magnate

My client is a highly successful shipping business based in a large slick headquarters of over 200 people in central London, with smaller offices all over the world. I am looking for a confident, polished and professional receptionist/executive office assistant who is keen to work in an exciting, busy, and people-facing role. No two days are the same!

They are looking for someone respectful, capable and polite, with around 6 months to 2 years of experience working in an office environment – but a positive attitude matters most! This is a fabulous opportunity with the potential for this individual to grow and progress within a rapidly expanding company.

This is a hugely varied and busy role with duties including:

  • Working as part of a friendly, collaborative team supporting the Executive management.
  • General management of a busy Reception
  • Meeting and greeting respected and high-profile guests/clients professionally and discreetly.
  • Coordinating the booking and upkeep of meeting rooms across 2 floors
  • Answering phones, and responding to internal and external emails
  • Helping organise exciting company events
  • Assisting with meeting logistics for exec and senior management
  • Supporting Executive office team with errands and projects (Occasional dog walking – the CEO has a Labrador!)
  • Assist EAs with booking meetings, travel, gifting, errands Setting up the exec dining room for clients and helping run the events
  • General admin

Person, skills and experience required:

  • Someone confident, personable and smiley
  • Polished and well-presented with a high level of professionalism
  • A real can-do attitude - willing and eager to learn and help out anywhere needed
  • Highly organised and able to problem-solve
  • Trusted team player – they are looking for a great fit for their close, collaborative team
  • Some experience in an office environment – reception would be ideal but not a necessity
  • Hospitality/service industry experience is a plus!
  • PA or secretarial training would also be a plus
