Ongoing temp position to start next week.  Corporate Receptionist and Office Manager for a boutique finance company in West London, your role would be pivotal in creating a welcoming and efficient environment. Your role as a Corporate Receptionist and Office Manager is crucial in maintaining a positive and professional image for the company (5*) while supporting its operations and staff members effectively.  Fantastic opportunity for a career Receptionist who wants to make the role there own.

 

 

Corporate Receptionist Duties:

 

Greet clients and visitors warmly, ensuring they feel welcome and attended to. Handle incoming calls professionally, redirecting them to appropriate staff members or taking messages when necessary. Manage visitor logbooks, issue visitor badges, and notify relevant associates of guest arrivals. Keep the reception area tidy and presentable at all times. Assist in scheduling appointments and managing meeting room bookings. Sort and distribute incoming mail, as well as arrange outgoing mail and courier deliveries. Provide general administrative assistance to various departments, such as data entry and document preparation. Support with teas and coffees.  Internal and external lunches.  

 

Office Manager Duties:

 

Oversee the maintenance and cleanliness of the office space, including liaising with external vendors for repairs and services. Monitor and replenish office supplies, ensuring essential items are always available. Assist in budget planning and management for office-related expenses. Organize company events, meetings, and conferences, including logistics, catering, and audiovisual requirements. Ensure compliance with health and safety regulations, including conducting regular safety checks and emergency preparedness. Support the Personal Assistants (PAs) with administrative tasks such as calendar management, travel arrangements, and expense reporting. Maintain and organize office records, both physical and digital, ensuring confidentiality and accessibility. Provide assistance with special projects and initiatives as needed, collaborating with other team members to achieve objectives.  

 

Additional Responsibilities:

 

Maintaining 5-Star Service: Uphold the company's commitment to providing exceptional service to clients and visitors, ensuring their experience reflects the company's high standards. Work closely with the PAs to provide seamless support to senior management and ensure efficient coordination of tasks. Identify areas for improvement in office processes and procedures, implementing solutions to enhance efficiency and effectiveness.
