Executive Assistant to Two Directors of a Family Run Business

Executive Assistant to two Directors and managing an office of a family run business based in Notting Hill for £54,000-58,000 per annum.  Note: Candidates wishing to apply should have a number of years experience in Assisting a High-Level Executive Director.

To support the two directors in the running of a family business, which includes overseeing a small office, managing the diaries of the Directors, the Family Foundation, a small property portfolio and over the summer supporting with a Yacht Charter.  There is also extensive overseas travel to organise.  Successful candidates will be really organised and have a high level of literacy and numeracy as well as good Management and communication skills.  Also those that value a good work/life balance will be interested in this role.

The company’s main focus is in the Hospitality sector, with the primary business a group of Youth Hostels with 700 beds across 5 locations in Central London and York. The group also includes a Health Club, Gym and Spa right next to the office as well as a small portfolio of properties. Started in the 1960’s by the Chairman and now run by both the Chairman and his son who is the Managing Director, there are 6 people working at Head Office, with a total combined staff across the entire group of approximately 80.

The skills that we are looking for in successful candidates:

  • Extremely good organisational skills and effective time management
  • High level of literacy and good communication skills 
  • Good interpersonal skills and diplomacy
  • Experience of working in a similar role in a fast paced office environment ideally with a minimum of 10 years experience
  • Flexibility in managing conflicting workloads and adapting to different priorities as and when they arise
  • Excellent references from previous employer and a strong track record of permanent long term positions
  • Trustworthiness and discretion
  • Resilience, stamina and ability to remain calm when under pressure.

The Key responsibilities are as follows:

  • To provide comprehensive assistance to the Chairman regarding personal social arrangements, travel and property management
  • To manage the smooth day-to-day running of the office
  • To maintain the diaries of both Directors, organising meetings at the office, at different sites and online
  • To plan and implement the organisation of overseas travel arrangements and organise itineraries
  • During Summer, to co-ordinate the charter of the yacht communicating with brokers, issuing invoices and liaising with the Captain of the yacht
  • Support the Managing Director on any projects for business development
  • Look after meetings, greet visitors, organise necessary briefings and paperwork and organising hospitality arrangements
  • Manage all incoming and outgoing post
  • Making personal payments and purchases
  • Prepare agendas and take minutes in meetings

The normal working hours required are 9am to 6pm, 5 days per week. The office is based in a mews in Notting Hill around 10 minutes walk from Notting Hill Gate Station (Central, District and Circle Line) with an annual salary starting from £54,000 per annum depending on experience.
