We’ve just taken on an exciting role for an Office Administrator to work 3 or 4 days per week in the Executive Office for a company based in London, W2.  The role works closely with the Executive Assistant to the CEO and Board to support them and assist with the smooth running of the busy department.   They are looking for someone with experience in a PA/Administration role supporting an Executive Office or C-Suite leader.  Given the nature of the role you will be predominantly based in the office.   

 

Responsibilities include collating relevant advance meeting papers and/or briefing documents, arrange international and national travel logistics, including visas and produce high level itineraries, maintain electronic and paper filing, archive systems and databases.  You will manage corporate gifting, ensuring you maintain a detailed gift tracker,  processes expenses and invoices and track budget spend.  You will assist in the production of agendas and accompanying papers for Shareholder, Board and regular Executive Leadership meetings.  You will produce high level reports, presentations and other documentation following the company corporate band and style guidelines. 

 

The role will suit someone who thrives in a fast paced and dynamic environment.  You will possess first class organization and communication skills, have an enthusiasm to deliver, high attention to detail, be emotionally intelligent, able to multi-task, establish excellent internal and external relationships and effectively prioritise your workload under pressure and use your initiative.  Excellent written, verbal, interpersonal and organization skills are a pre-requisite along with a proven record of handling confidential information and exercising discretion.  You must have advanced and excellent Word, Excel, Outlook and PowerPoint skills.   Longer term there is the potential to grow the role.
