PA/Business assistant

Leading Creative Executive Search company 

35K - 38K depending on experience

3 days in the office, 2 from home. 

We have a great opportunity for an experienced assistant to support the senior execs of a leading global creative executive search company. This company work with leading global brands and media/ad agencies.

The ideal candidate will be used to working with creative people, be super organised and have exceptional attention to detail. Discretion and brilliant communication skills also required, as well as an excellent working knowledge of Microsoft packages. This is a fast paced role with lots of diary juggling.

A keen interest in creative advertising and brands would be very advantageous.

The ideal candidate will....

  • Ideally come from a creative business in a similar role, therefore used to working with creative people and have a natural curiosity and interest in creative work
  • Be super organised with meticulous attention to detail (and have a great memory)
  • Be able to handle sensitive information with the highest level of discretion and confidentiality
  • Be a clear and confident communicator at all levels both internally and externally
  • Be able to build and maintain strong working relationships with senior clients and their PA’s, as well as key contacts within the global network
  • Be able to exercise tact and diplomacy when needed
  • Have an ability to pick things up quickly and hit the ground running
  • Have excellent writing skills
  • Be a pro-active team player, happy to help pitch in and work in partnership with other assistants; be used to working collaboratively
  • Have excellent working knowledge of Microsoft Outlook, Word, Excel, Keynote
  • Be flexible, fun and have a good energy

Day to day

  • Extensive diary management; understanding the importance of key meetings and anticipating needs
  • Organising internal and external meetings with clients and candidates
  • Screening incoming phone calls and directing them appropriately
  • Preparing all presentations for clients and undertaking all resulting admin
  • Helping to manage the interview process for both clients and candidates (setting up meetings, providing background material)
  • Making and coordinating domestic and international travel arrangements
  • Remembering deadlines and prompting where necessary
  • Maintaining databases, inputting contacts and relevant information/correspondence
  • Processing expenses
  • Maintaining weekly status reports
  • Weekly reception cover (1 hour lunchtime slot)
