My client is an Executive Search firm with offices based in London and Paris, who are currently looking for an experienced and ideally bilingual (French/English) EA to be based in their London office. 

The assistant will be responsible for the smooth, daily operations of the London office and you will be assisting the operations manager of the group as well as building relationships with external contractors, managing all office supplies and handing consultants expenses.  

The EA main duties of the role will include (but not be limited to):

· Organization and scheduling of appointments with clients and prospects

· Preparation of contracts and marketing documents for BD

· Monitoring mission calendars (launch & closure meetings, weekly team points, etc.)

· Data entry for missions and daily tracking of research progress

· Organization of candidate presentation appointments

· Tracking candidate files

· Managing spontaneous applications

· Responsible for the database, relationship with the provider, updates & maintenance, and with our external data manager.

· Managing complex schedules

· Appointment scheduling and confirmation (up to 8 to 10 per day)

· Organizing candidate travel

· Assisting in any activities that streamline operations and client service

This role would ideally suit a bilingual (French/English) EA with at least 5 years experience within a fast paced and dynamic professional services company. You should be highly organised with excellent communication (both written and spoken) skills.
