Are you seeking a dynamic, engaging, and pacey EA role?

Our client a luxury creative firm are seeking a proactive, forward thinking, and experienced EA to support their CEO.

Crucial is a diary expert and gatekeeper, who’s able to keep their very busy CEO running to time. No one day will be the same! This is an involved business EA role; our client has an established and growing portfolio of gorgeous brands. The CEO travels extensively as such the successful EA will be an active member of business meetings, liaising with stakeholders and global team members.

Due to the immediate need this is a temp role, with exciting opportunities!

Responsibilities:

  • Ensuring the seamless organisation of the diary (both business and personal), across all time zones
  • Act as the gatekeeper
  • Inbox management for multiple inboxes; vet and respond in a timely manner
  • You will be managing all email communications; write and edit emails and internal posts on the CEO’s behalf
  • Tight and seamless travel management; you’ll book flights, accommodation, ground transportation and liaise with concierge services on worldwide travel
  • You keep visas and passports updated
  • Guiding the CEO from meeting to meeting, providing lunches
  • Expenses and invoices - keeping on top of all CEO’s office spend and processing the CEO office invoices with accounts, ensuring everything is coded and allocated correctly
  • Management of stakeholders - building positive relationships with key internal stakeholders both locally and globally, and across all levels of the business. You are representing the CEO at all times
  • Ad hoc errands and duties and the management and organisation of social activities and itineraries, entertainment and restaurant reservations

What we are looking for:

  • Excellent communication skills
  • Excellent attention to detail
  • Organised, have the ability to multi-task and spin multiple plates in the air at one time, prioritise and re-prioritise as things come in
  • You will be used to dealing with highly confidential matters such as company salaries, people issues and structures as well as dealing with high profile members
  • Personable, engaging, and sociable and have a good sense of humour!
  • Please note this role is office based (Monday through Friday)
