Executive Assistant
A large climate change focused foundation is looking for a pragmatic, collaborative and highly-organised individual to join their team. The foundation was set up in 2019 by the founders of a tech business committing a certain portion of profits annually to climate change.
The Role
The foundation is looking for an experienced and highly-organised Executive Assistant who will be responsible for the smooth running of the newly appointed CEO’s diary. The foundation has grown very quickly and due to its position within the industry the CEO’s time will be pressurised and in demand from internal and external stakeholders as well as their own team. You will be required to ensure that their priorities are balanced and that their time is managed effectively.
As both the EA and CEO roles are newly created, this presents a unique opportunity to help set up and imbed best administrative practices into the foundation. These will be used to support the new CEO as they deliver the strategy for the foundation and guide it into the next stage of development.
Your responsibilities within the role will include:
• The day-to-day running and management of the CEO’s calendar and inbox.
• Managing meeting requests, internal and external, and liaising with key stakeholders to ensure the smooth running of the CEO’s diary.
• Attending relevant meetings as required to take minutes, creating briefing notes, action points and organising the relevant follow-up.
• Creating packs for board meetings, presentation documents and other material as required for internal and external meetings.
• Co-ordinating the CEO’s travel arrangements, nationally and internationally, as well as preparing itineraries, planning and managing all logistics, whilst working closely with our Head of Finance on expense reports.
• Working with the wider Operations Team to support with team events, socials, and travel coordination.
About You
We are looking for someone who is a pragmatic and positive problem solver with experience in a fast-paced work environment. Strong organisational skills are vital, alongside resilience and a willingness to collaborate to help the foundation grow.
As Executive Assistant, you will be working on numerous tasks at one time - often with conflicting priorities or time pressure - so you’ll need to be efficient, hyper-organised and great with time management. You must have a strong attention to detail, be reliable and possess the ability to take the initiative in order to complete tasks.
In the role you will also have to navigate different preferences and approaches, so an ability to handle ambiguity and keep numerous plates spinning would be helpful. It will require a flexibility of thought and the ability to manage multiple stakeholders and different time-zones.
The foundation operates as a small but very effective team, meaning you will be expected to work very collaboratively and as a highly-organised team player who enjoys the variety and working at pace in high-performing environments. Previous experience working with a Managing Director/Partner or CEO would be considered a plus.
