This is a fantastic opportunity working for the CEO of highly successful Executive Transformation Consultancy. This role is mainly virtual with occasional meetings either in Sussex or London with the CEO. This is a fabulously busy and diverse role supporting the CEO with her day to day life (both business and personal) as she designs and delivers bespoke transformation initiatives for Senior Leaders within the worlds most successful businesses. The CEO is absolutely lovely – clearly very driven and successful but also very approachable and friendly – she simply needs help in making her busy life run as smoothly as possible. We are looking at this role in a part time capacity (4 days) and also full time but key is flexibility and a positive attitude.
Ideal candidate will come from a background of working with C-Suite Executives in large corporates, be flexible with ethe ability to juggle a busy and changing work load.
Role:
Personal Assistant:
- Scheduling of all personal appointments
- Personal administration as required
- Full rental property management
- Home management administration
- Support with managing home renovation
- Support with travel/ holiday arrangements for family
- Restaurant/ event bookings
- Managing home support – housekeeper, ironing lady, gardener etc
Diary Management:
- Work with me to develop an ideal diary planning structure
- Book coaching appointment in alignment with Leadership Development programmes
- Maintain strong relationships with premium coaching clients and their assistants
- Ensure zoom link are set for all coaching appointments. Send client reminders ahead of coaching sessions and meetings
- Book out holiday time in diary
- Ensure that have key dates and important events in the diary
- Maintain Trello board or similar platform to manage our shared priorities
Financial:
- Generating and sending invoices in Xero
- Working with the company’s Bookkeeper and Accountant to manage the financial health of the business each month
- Managing incoming client payments in and balancing Xero
- Preparing documents for quarterly VAT returns – compiling banks statement and credit card statements and forwarding to Bookkeeper. Acquiring remittance slips from necessary clients.
- Managing receipts for monthly expense reports
- Making supplier payments
- Tracking monthly receipt of rental income from investment property and maintaining financial records (expenses and costs for annual tax return)
- Ensuring invoices are paid in alignment with company payment terms
Web/ Social
- Support in keeping website up to date and relevant (alongside web dev team)
- Upload relevant content on an ongoing basis
- Arrange for video testimonials to be done on an ongoing basis with clients
- Keep social profile up to date
- Manage social posting in alignment with digital strategy (LinkedIn, blogging platforms)
Proposals:
- Prepare client proposals in alignment with Branding guidelines (PowerPoint) and deadlines
- Create meeting / event summaries for clients
- Prepare proposals that include inputs from our Digital partners or other suppliers
- Prepare and maintain up to date team bios to send to clients when requested
Project Management:
- For bigger client projects, engage in client meetings to develop an understanding on how to deliver exceptional client experience
- Manage delivery of key outputs in alignment with deadlines and expectations
- During events to manage the tech support on MS Teams, Zoom or any client specific platforms as required. Events are sometimes in person and sometimes virtual.
- Travel in person to events as necessary to support the overall success of the event. Full event co-ordination responsibility. This will involve European / International travel
