Job Description

My client is a growing building contractor. We are recruiting on their behalf for a well organised, adaptable and willing office administrator to support the directors executive assistant and department heads.

Whilst this position does have the opportunity for variety and longer term progression, interested candidates must be content carrying out basic admin and office duties daily, such as laminating documents, post, photocopying, creating files, taking and directing incoming phone calls as required.

Overall purpose of role

Responding to all incoming calls, passing on or taking messages as required

Support the Directors Executive Assistant in progressing actions/alerts on in house database

Support the Directors Executive Assistant to ensure the smooth running of Administration on projects

Support the Design & Quality team

Key tasks

Support the Design & Quality team in managing the Quality Control/Quality Assurance trackers (QCQA)

Assist the Design & Quality team on preparing QCQA documentation for site including assisting with producing grid line documents and laminating

Assist the Design & Quality team with Building Control documentation as directed

Provide the first point of response for all incoming telephone calls

Assist with office administration including post, paperwork, filing, scanning and photocopying as directed by the Directors EA

Assist the Director s EA in supporting the Partnering & Performance Director s administration tasks

Provide cover for Directors EA at holidays and peak periods if required

Provide cover for other Administrators (Compliance & Procurement) as directed by Directors EA

To carry out any other admin duties as directed by Directors EA

Provide support to CAD technician where directed

Competencies

Role-specific:

Advanced user Microsoft Outlook email and calendars and MS Word. Competent user MS Excel.

Attention to detail and analytical approach.

Excellent English language skills, dealing with telephone calls, visitors and emails appropriately.
