Admin / Receptionist

GBP13 - GBP14 per hour PAYE

Salford

6 - 8 month contract

gap technical are proud to be representing this national construction business in their search for an Admin / Receptionist to work at their facility based near Salford

Performance Objectives

  • Manage Reception - responsible for tidiness & appearance also responsible for greeting and controlling visitors - also ensuring cleanliness of Kitchen between morning and afternoon.
  • Allow Visitors & client team access site welfare area via the intercom when security is on break
  • Answering incoming calls professionally and directing to relevant staff
  • Taking messages and passing on to relevant staff
  • Responsible for Stationery and Refreshment supplies and re-ordering
  • Arrange refreshments for internal & external meetings & formal meetings
  • Attendance at progress meetings to take minutes as and when directed
  • Collation and binding of documents for submission - such as Contractors Monthly Reports, Client Reports.
  • Printing and distributing minutes etc. to attendees prior to meetings
  • Receiving all incoming posted mail - scanning, filing, and distributing copies
  • Typing letters, reports, minutes, signs (incl. laminating) etc.
  • Organising outgoing post at end of each day
  • Manage the Meeting Rooms Diary in Microsoft Outlook
  • Arrange maintenance visits for photocopier / printers / plotter
  • File drawings and maintain accurate drawing registers.
  • Manage site documents through our 4P management system
  • Ensure supplies for printers and copiers are plentiful
  • Maintain updated telephone contact list for project and site team
  • Ordering of site stationary
  • Ensure the weekly plan is typed up and submitted following the Friday Meetings.
  • Ensure all goods received registers are updated and issued to head office.
  • Ensure all subcontractor H&S folders are up to date and organised.
  • Ensure meeting rooms are left clean & tidy for the next planned meeting.
  • Ensure client PPE is returned and stored under lock & key
  • Ensure the induction folder documentation is all filed away following inductions.
  • Maintain the induction register & blank induction documents.
  • Assist security in updating all documentation.
  • Manage time effectively and seek to make improvements where necessary within the office.
  • Be part of the project team

Candidate:

  • Experience working within Construction Industry
  • Document Control experience preferred
