PART-TIME HR & SYSTEMS ADMIN ASSISTANT FOR ART RETAILER
We have a fantastic new opportunity for a Part-time HR & System Admin Assistant for a multi-channel art business, at their HQ in London.
In this role, you will work as an integral part of the company's people function, supporting with all HR-related administration and HRIS coordination. You will need to be able to work in a timely manner, effectively supporting the Chief People Officer, the HR department, stores, and the wider business with day-to-day HR administration, (including contracts, store payroll and inductions), HRIS implementation and training as well as troubleshooting, maintenance, and communication.
This role has a strong support focus and therefore requires a high level of accuracy, technical flair and professionalism so that you can provide exceptional service and support. You'll handle a varied workload and tackle any task that's sent your way in a structured manner.
Working hours are Monday to Friday, 25 hours per week, 5 hours per day. This is a hybrid role, based between the office in Camden and remotely.
DUTIES TO INCLUDE BUT NOT LIMITED TO:
- Dealing with HRIS-related queries from employees, managers, prospective employees and third parties fielding them appropriately to the Chief People Officer.
- Liaising with the Chief People Officer on payroll files.
- Assisting in the production of documentation including reports, agendas and presentations to a high standard.
- Participating in specific people-related projects as determined by the Chief People Officer.
- Suggesting changes and improvements to systems existing ways of working.
- Ensuring all work is appropriately updated, handed over and covered in the absences of members of the People team.
- Conduct maternity and parental meetings as advised by the Chief People Officer.
- Provision of new starter employee documentation as directed by the Chief People Officer.
- Administering HR-related documentation, such as contracts of employment and due diligence checks in a timely manner.
- Administration of staff engagement surveys.
- Filing of retail and office staff personnel documentation (archiving of leavers files).
- Updates to the company contact list and organisation chart, reflecting, any department changes, leavers, position changes and promotions.
- Compile key HR metrics for reporting.
- Monitoring of Office attendance log/time and attendance system.
- Maintaining and updating employee records, namely the HR Information System (Exelsys), electronic filing system and personnel files.
- Ensuring any relevant HR database is up to date and accurate.
- Ensure all new starters are set up on HRIS upon joining and receive the relevant instructions and training.
- Support with coordinating long service awards and the company bursary Compliance with GDPR and data privacy
ESSENTIAL CRITERIA:
- Minimum of 1 year previous HR administration/ assistance experience.
- Previous experience working with HRIS and supporting with training and troubleshooting.
- CIPD qualified (or working towards it) or equivalent HR-related qualification would be desirable.
- Fluency in written and spoken English (essential).
- Excellent communication skills.
- Professional, friendly demeanour
- Credible, graduate calibre candidate.
- Intermediate/advanced working knowledge of Microsoft Office Suite (essential), including Visio (desirable).
