We have a fantastic new opportunity for a Personal Assistant to join a well-established real estate investment company to provide a high level of proactive, confidential, and efficient PA support to the Chief of Development & Project Delivery Officer and supporting Department Head's and Directors. Our client is looking for a Personal Assistant who has strong organisational skills, can work well under pressure and has great communication skills, both verbal and written.

Main Responsibilities:

  • To be the gate keeper and first point of contact for Executives, both internally and externally
  • Answering and vetting all incoming calls, identifying which call should be put through directly or transferred to other colleagues/departments where appropriate. Deal with queries where appropriate or escalate as necessary
  • To provide extensive diary management for all Executives; ensuring the diary is kept up-to-date, workable, and appropriately prioritised
  • To manage where appropriate Executives mailbox, monitoring incoming emails, responding appropriately on their behalf, escalating for attention where necessary, and filing once actioned
  • To provide support in co-ordinating and organising meetings, basic and complex, of varying scale, both internally and externally, ensuring arrangements such as equipment and refreshments are made, agendas and papers are prepared in advance, dial in details are arranged and communicated, all attendees receive meeting details and invites, and attending as minute taker as required
  • To organise the travel bookings, domestic and international, ensuring appropriate travel arrangements are made, currency is organised, and travel itineraries and meeting schedules are prepared
  • To provide cover for reception and carry out ad-hoc administrative tasks as and when required
  • To prepare and format a range of written materials, for example emails, letters, presentations, reports, executive summaries, and dictation notes; ensuring the work is produced in an accurate, presentable, and appropriate manner
  • To undertake project work as directed; ensuring deadlines are met and the work is to a high standard.
  • To provide general support, such as recording and organising all business expenses, and any ad hoc administrative tasks as required
  • To be involved with sensitive and often highly confidential subjects; ensuring confidentiality and common sense is always applied to knowledge sharing
  • To develop an understanding of the style, interests, and work preferences of the Executives to meet their requirements and be proactive in avoiding or solving issues and problems
  • To maintain excellent computer skills, including Microsoft Word, Excel and PowerPoint and effective typing skills (audio and copy typing); to facilitate a high standard of written and presentation work
  • To undertake other such duties as appropriate to the level and nature of the role.
