Office Manager with HR duties

This is a brilliant opportunity to join an entrepreneurial business leading the way in one of the most exciting sectors of real estate in the UK - Build to Rent (BtR). This is a key role for the business, responsible for the smooth operation of our client's central London office where their head office team of 25 are located.

Key Duties:

Office Management

  • Liaising with the Marble Arch House reception team to co-ordinate arrival of guests including greeting guests and providing refreshments
  • Keep all meeting rooms presentable
  • Collecting and distributing inbound post and parcels
  • Sending outbound post and arranging couriers as required
  • Maintain stationery supplies and other office consumables
  • Managing fruit supply contract and other food / drink requirements
  • Liaise with all tradespeople to arrange periodic works/services including gardening, HVAC/M&E maintenance, PAT testing
  • Undertake minor repairs in the office or arrange for relevant tradespeople to attend
  • Manage office access and alarm system - control issue of access fobs
  • Manage Franklyn Air HVAC / M&E contract
  • Undertake annual Fire Risk Assessment
  • Manage office cleaning contract
  • Maintain magazine subscriptions
  • Main point of liaison for Marble Arch House reception team and building manager including review of annual service charge budget and any other costs arising
  • Management of Office operating cost budget - this role will be the approver for costs within their remit
  • Keep kitchen tidy including emptying the dishwasher daily
  • Ensure that plants are regularly watered
  • Daily routine to open and close/lock office access doors
  • Trained first aider and fire warden (training will be provided)
  • Act as employee health and safety representative

HR

  • Welcome new joiners and perform inductions
  • Maintain HR system (BreatheHR) to record personal details, holiday allowances and upload relevant documents
  • Maintain training system (Workrite)
  • Organise regular social events (monthly lunch club, quarterly events including Summer Party and Christmas celebration)
  • Maintain Key Company Documents folder on Dropbox
  • Manage leavers - obtaining all equipment and fobs

IT

  • Main point of contact / liaison for outsourced IT service provider (Cheeky Munkey) on new joiners, leavers and IT matters affecting the wider office (individuals responsible for raising support tickets to resolve individual issues)
  • Setting up new joiner IT equipment as received, if not set up by Cheeky Munkey
  • Maintain inventory of available hardware to be able to best allocate equipment to new joiners
  • Set up and maintain Video Conferencing facilities
  • Manage Pescado phone contract and configure desk phones
  • Manager Xerox printer contract
