An award winning, friendly, and inclusive city law firm are looking for a Legal PA to support their Financial Services Head of Department. This firm offer great benefits, 50/50 working from home, great progression prospects and a generous salary.
The ideal candidate will proactively seek to improve processes with the ability to anticipate the needs of lawyers, clients, and colleagues to contribute to the department, and ultimately the firm’s success.
Key Responsibilities:
- Extensive diary management, anticipating needs and conflicts
- Screen communication - email and teams to ensure the best client service at all times
- Act as a gatekeeper - delegating tasks to document production and administrators. Checking work produced and ensuring it is correct before it is returned.
- Ensuring documents are created to a high standard and in line with firms’ brand/style
- Help prepare PowerPoint presentations
- Oversee ad hoc admin projects - archiving, shredding, photocopying, filing
- Arrange meetings, booking meeting rooms and ensuring refreshments are booked and provided
- Preparation and distribution of documents ahead of meetings
- Booking travel through the firms travel agent - taxis, accommodation, visa applications, itineraries, and compiling expenses
- Help lawyers with pitches and presentations
- An excellent understanding of client’s expectations, passing on accurate and timely messages
- Assisting with arranging events
- Update the firms CRM - InterAction
- General admin: incoming and outgoing mail, inbox management, filing, expenses.
- Assist lawyers with time recording, billing, credit control, conflict checks, file opening and arranging bank transfers
Experience & Knowledge
- Experience in similar Legal PA/ Secretarial role essential
- Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint.
- Efficient organisational skills, with a high degree of accuracy and an ability to prioritise often conflicting workloads.
- Able to work calmly and efficiently under pressure.
- First-rate inter-personal and communication skills, with the ability to develop and utilise good working relationships across teams.
- Demonstrate flexibility and dependability.
- Evidence of having used initiative and an understanding of process.
- Able to build confidence and earn the trust and respect of others.
