Join an award-winning high fashion tech platform based in Central London! Our client is looking to add a fabulous Studio / Office Manager to their dynamic team. The brilliant Office Manager will enjoy being the lynchpin of the office; providing utmost support to a driven team as this position is pivotal to the day-to-day management and smooth-running of a busy studio and online platform. 

Responsibilities will include:

  • Responsible for office management, keeping office tidy & well presented
  • Preparing meeting rooms in advance 
  • Meeting & greeting visitors 
  • Providing in-meeting refreshments and external catering for meetings 
  • Overseeing and agreeing contracts and providers for services including property managers, cleaning companies, city council etc.
  • Assisting in hiring and supervising a technical and creative team
  • Ensuring that basic facilities, such as water, heating, studio and kitchen are well-maintained
  • Manage small scale budgets; ensuring cost-effectiveness 
  • Allocate and manage space between buildings
  • Ensure that facilities meet government regulations and environmental, health and security standards
  • Advise Accounts team on increasing energy efficiency and cost-effectiveness
  • Oversee building projects, renovations or refurbishments
  • Draft reports, assessments and making written recommendations
  • Liaise with producers and the in-house production director, to help prepare and assist for photographic and film shoots within the studio
  • Manage staff absences and holidays through the HR system, ensuring that it is planned in the diary and staff are all advised
  • HR administration, employee relations, benefits and training
  • Consult with executives and directors on strategic planning
  • Makes notes during the weekly agency meeting and share with the team
  • Occasional support for wider team as required

What we are looking for: 

  • Ideally 2-3 years’ experience in a busy support role
  • Communication and influencing skills, in person and in writing
  • Analytical and problem-solving skills
  • Decision-making and being a team player
  • The ability to lead and manage teams and projects
  • Attention to detail but also the ability to see the implications for the bigger picture
  • Commercial awareness
  • Outstanding customer service
  • Exceptional organisation, time management 
  • Ability to prioritise and handle a complex, varied workload
  • A good knowledge of IT packages
