Boutique property investment company based in Mayfair is looking for a very efficient, organised and capable EA / Office Manager to come on board and support the team. This is a newly created role, working within a start up environment, as such we are looking for someone who has worked in a similar role previously and knows exactly what is required to set up a new office and support a team and company in its initial phase. This role is working with a welcoming and friendly team who are very focussed and driven. They are experts in their field and so looking for someone who can “run the show” back at base. The role has huge scope and a fantastic opportunity to make it your own. Key is a candidate who is highly capable, efficient and willing to muck in and get involved. You will not only be supporting in an admin capacity but involved in setting up the office, implementing policies and procedures, structure and support. You will constantly be liaising with High Profile clients from across the globe but also providers and suppliers, therefore excellent communication skills are required as well as the ability to multi task and juggle a busy and forever changing workload.

Duties
- Office set up and ensuring smooth running of the office, including up-keep and maintenance.
- Liaising with potential suppliers and service providers, carrying out reviews and renewals where necessary.
- Acting as the main point of contact for any visitors and building management/ office queries
- Managing the office inbox and phone lines and responding accordingly
- Implementation and development of company systems, policies and procedures
- IT support: liaising with IT provider
- HR: Staff on-boarding and off boarding and any training required. Recording and approving holiday and sick leave. Manage the benefits offering – pension, healthcare, etc.
- Procurement – ordering any necessary office supplies in line with budget
- Finance: Working closely with accounts, providing all relevant month end documentation. Managing invoices and expenses.
- Managing Payroll
- Responsible for office health and safety and training
- Internal and external events
- Meeting room management and organisation
- Maintain in house filing system and company contacts
- Managing the company website and social media - contributing to social media posts and creating engaging content
- Project management – Office move/ design process
- Running reports and analysing data
- Ad hoc support to include; research, presentations, reporting, travel, expenses, events
